We mostly cater for private groups who travel with us on itineraries that are similar to the themed routes featured on this website. We are referring here to custom trips – for scheduled tours, which have their own procedure, please visit the Scheduled Tours section. For custom tours, there are two types: Mainstream Private Tours and Special Interest Private Tours – the procedure for both types is the same. (For an explanation of the difference between these two types of tours, please read How We Work page.)
In either case, if you would like to travel with us, the procedure is as follows:
- Once you familiarise yourself with the kind of travels we do, and have a clear idea of what travels you would like to do, then write to us and define the parameters of the kind of tour you would like to undertake. Tell us (1) preferred season or month or dates of travel; (2) number of participants; (3) what activities you would like to do (if trekking, tell us what difficulty level you can handle); (4) level of luxury and service, and anything else that could affect the price (such as class of hotels or standard of rooms, whether you would like spacious and luxurious SUV vehicle or cheaper-to-rent van or sedan car, any extra service); (5) any dietary preferences or limitations; (6) any special interests or requirements; (7) whether you would like us to base your tour on any of the themed routes featured in this website. Pay special attention to budgetary issues, and bear in mind that some regions cost more than similar destinations elsewhere due to remoteness and price impositions (for example, some nature reserves charge exorbitant permit fees). Best is to include as much detail as possible so that we can give you clear answers.
- Once we hear from you we will give you a free consultation, either via email or by chatting on the phone (or a combination of both). The point of the consultation is to clarify what we can organise for you depending on the parameters you indicate to us, and then to collaborate with you to draw up an outline itinerary and give you an estimate of how much it would cost you.
- If, after you are satisfied with the outline itinerary and cost estimate, you would like us to proceed with preparing a detailed itinerary and precise quote, we can do so against payment of an administrative fee. The fee for the preparation of a detailed itinerary and cost-computation starts at €100, and can rise depending on the complexity of your service requests or kind of travel (some journeys that deviate radically from our themed routes, or necessitate special and unusual services, require a lot more work to prepare). The administrative fee is decided on an individual basis, but the thing to note is that, should you travel with us, the administrative fee would eventually be deducted from your bill when it comes to paying for the tour.
Booking & Paying
If you accept the itinerary and quote, and decide to travel with us, the next step is to pay a booking fee in order to secure your booking. The booking fee is set at fifty percent of the price of the tour (the rest of the fee is to be settled before commencement of the tour, normally as a cash payment.)
Days & Detours
For these types of short tours or detours, we give you free consultation to discuss and clarify all details of itinerary and quote. Also, payment arrangements are discussed individually depending on the time-span between booking and commencement of the trip.
Payment Modes
Payment is to be settled upon issuance of an invoice in each case (we send invoices via email). We can accept payment in two ways: either via Paypal or via direct bank transfer. Once you tell us which mode you prefer to use for payment, we will put the relevant details on the invoice.
Booking Service Online
There is no provision yet to book or pay directly through Pepper Mountains website. Due to the specialised nature of our tours, and the capabilities of a niche company that focuses on personalised journeys, we prefer to clarify everything in one-to-one correspondence according to the procedure outlined above.
